When possible we will attempt to make our facility available to local organizations and individuals for one-time or short-term usage, but our first priority is to congregation programs and membership needs. Priority is then given to nonprofit groups that are supported by our church and finally to other organizations. 

No activities or advocacy may take place within the 608 Aurora buildings or grounds that conflict with the mission, vision, beliefs, and practices of Sojourn Heights.

The process

  • Please submit the form below and provide as much detail as possible
  • The Administrative Manager will contact you within 5-7 business days with additional information, including any potential costs or conflicts.
  • If approved, you will be sent a Facility Use Agreement, outlining our terms and conditions.

RULES & REGULATIONS

  1. CHURCH PROPERTY - Church property will not be loaned, borrowed, or removed from church premises without prior permission from the Administrative Manager. Church property such as chairs, tables, tablecloths, etc. may be used when using the facility under the rules herein.

  2. FACILITY CARE - The church area used by your group must be left clean and orderly with church furniture and property returned to its designated place. Failure to comply may result in forfeiture of the security deposit.  

  3. BREAKROOM RULES - Breakroom use must be specifically requested and authorized prior to your event. It must also be left clean and orderly after use. Garbage and trash must be bagged and disposed of in the dumpster location. Garbage bags can be found underneath the Breakroom sink.   

  4. SANCTUARY SOUND SYSTEM - The Sanctuary sound system is available, but requesting to do so also incurs an hourly Audio Engineer rate. See the fees list below for more details.

  5. NO SMOKING ALLOWED - All members of all groups using our facilities shall abide at all times by a “no smoking” rule in all parts of the buildings and campus, including corridors, restrooms, and parking lots. There are no exceptions.

  6. ALCOHOL USE - If alcohol is to be served or available in any capacity during your event, you will need prior approval. To request approval for alcohol, you will need to separately email the Administrative Manager with as much detailed information as possible.

  7. BUILDING USE - All groups agree that they will ensure that all event participants leave the building after the event. Additionally, those responsible will ensure that during your event, participants do not roam in areas of the building that have not been requested in this facility use form.

  8. RESERVATION TIME - The reserved room/space may not be used before or after the approved timeslot – even if there are no other reservations before or after your reserved time. Only reserved rooms may be used the day of reservation. Final clean-up for events must be completed by 9 pm. If a group cancels an event for any reason, it must give 48 hour notice to the church office or forfeit activity fee.    

  9. SUPERVISION OF CHILDREN AND YOUTH - The Sojourn Heights Staff seeks to provide a safe environment for children and youth. All users of the facility are expected to follow the guidelines of this policy including the following:

    • No fewer than two adults should be present at all times during any program or event involving children being in any room.

    • Adult supervision is required at all times both inside and outside of the church property including the parking lot.

    • Children and/or siblings of group members must stay with the group or under the care of additional adult supervisors.

    • Both children and adults are only allowed to be in rooms that have been requested in the facility use form. Adults are expe cted to prevent them from roaming in areas of the facility that have not been requested in this facility use form.

  10. SOJOURN KIDS SPACE & RESOURCES - Use of Sojourn Kids rooms is prohibited if not specifically requested in this form. Use of ANY Sojourn Kids room does NOT include the use of Sojourn Kids resources, toys, cleaning supplies, restroom facilities, etc. If you would like to request to use the Sojourn Kids room WITH Sojourn Kids resources, you will need to contact the Sojourn Kids Director and submit a separate agreement. If you would like to request to use Sojourn Kids space WITHOUT using Sojourn Kids resources, toys, etc, this form is sufficient for that request. If you are further interested in using Sojourn Kids resources, there will be an space in the application below to denote your request. Once submitted, our Sojourn Kids Director will contact you.

  11. FOOD AND DRINK - Food and drink should be limited to designated areas. Areas where food is permitted are the Gallery, Sanctuary, Common Office, and Breakroom. If a private catering service is used for the event, the caterer must furnish all equipment (e.g. dishes, silver, table cloths, etc.) and remove immediately after the event. Storing of catering equipment is not permitted.

  12. DECORATIONS - Decorations may not be attached to the walls or doors with tape or anything that will damage the surface. Please seek approval from Administrative Manager for adhering anything to the walls or ceiling. All decorations must be removed immediately and completely following the event. Non compliance will result in loss of security deposit.

  13. EMERGENCY SCHEDULING CONFLICTS - The Sojourn Heights Staff reserves the right to pre-empt any facility use agreement in cases of emergencies, such as funerals. Notice will be provided as early as possible.

  14. STORAGE - Storage space on-site is limited. All organizations using the facility will be responsible for storing accessories offsite unless prior arrangements have been made through the Administrative Manager.

  15. BREAKAGE - All persons and/or groups using our facilities are expected to exercise reasonable care and judgment to prevent defacement, damage or breakage. The person(s) signing the application for use shall be responsible for paying costs incurred by Sojourn Heights in cleaning, repairing, or otherwise refurbishing any part of the building and/or its furnishings and equipment which, in the judgment of the Facilities & Events Team, has been carelessly or irresponsibly subjected to more than normal wear and tear by the person(s) or group(s) involved.

  16. SECURITY - The congregation works to maintain a safe and secure environment within the facility; however, no systems are foolproof. We ask that all users pay close attention to personal property and valuables and not leave them unattended. Sojourn Heights is not responsible for theft or damage to personal property.

  17. SAFETY – For the safety and security of everyone on Sojourn Heights property, the Sojourn Heights Staff prohibits certain items from being brought into the facilities, unless specific permission is granted by Administrative Manager or Executive Director.

    • Martial Arts & Self Defense Items

    • Bows & ArrowsExplosive & Flammable Materials

    • Disabling Chemicals & Other Dangerous Items

  18. ATTIRE EXPECTATIONS – Sojourn Heights promotes a positive, healthy environment. Sojourn Heights reserves the right to determine the acceptability. Failure to dress properly may result in forfeiture of facility use. Clothing with offensive language, designs, or pictures is not acceptable. Clothing not modest in nature is also not acceptable. Appropriate attire is required at all times.

  19. CLEANING – Covenant members using the church property are responsible for cleaning after each use -- both inside and outside. Neglecting to do will incur additional charges to be invoiced within a month after your event date. For non-profits requesting to use our space, we will come to a predetermined agreement regarding cleaning needs. For individuals/non-members as well as commercial use, we will require a cleaning fee

  20. LIABILITY - I WAIVE, RELEASE, AND DISCHARGE from any and all liability, including but not limited to, liability arising from the ordinary negligence of the property owner or fault of the entities or persons released, for my death, disability, personal injury, property damage, property theft, or actions of any kind which may hereafter occur to me including my traveling to and from this event, THE FOLLOWING ENTITIES: SOJOURN HEIGHTS and/or their pastors, directors, officers, employees, volunteers, representatives, insurance carrier, and agents, the activity or event holders, activity or event sponsors, activity or event volunteers;

The fees for Covenant Members and for Non-Profit Organizations is variable depending upon your particular request. Please email or meet with the Administrative Manager for your particular facility use needs.
